About the role
We are looking for a highly organized Executive Assistant to support senior executives at AECOM’s Makkah office. The role provides strategic administrative support, allowing leaders to focus on high‑impact initiatives in a fast‑moving infrastructure environment.
Key responsibilities
- Manage complex, multi‑time‑zone calendars, schedule recurring meetings and protect focused work time.
- Prioritise and triage incoming emails, draft responses and maintain inbox hygiene.
- Coordinate end‑to‑end travel arrangements, including flights, visas, accommodation and detailed itineraries.
- Own the full meeting lifecycle: agenda preparation, invite distribution, material compilation, note‑taking and follow‑up of action items.
- Prepare and submit expense reports, ensuring correct coding, receipt attachment and reconciliation.
- Create and update spreadsheets, dashboards, reports and presentations for executive use.
- Process purchase orders, assist with vendor setup and liaise with service providers.
Required profile
- Proactive and independent with exceptional organisational abilities.
- Strong interpersonal skills and the ability to work under pressure.
- Attention to detail and commitment to delivering high‑quality work.
Required skills
- Microsoft Outlook for calendar and email management.
- Microsoft Excel for data handling and reporting.
- Microsoft PowerPoint for presentation creation.
- Microsoft Teams (or similar) for virtual meeting support.
- Experience with travel and expense management tools.
