About the role
We are seeking an experienced Office Manager to oversee daily administration, HR coordination, procurement, facilities, and support services for our two Saudi Arabian offices. The role reports directly to the Managing Partners and Senior Partners, ensuring smooth and professional office operations.
Key responsibilities
- Manage daily operations of both offices, ensuring efficiency and professionalism.
- Supervise receptionists, administrative staff, drivers, and other support personnel.
- Allocate work, monitor performance, and ensure proper coverage across locations.
- Provide administrative support to Managing Partners and Senior Partners, including calendar management, meetings, travel, and office arrangements.
- Coordinate employee onboarding, off‑boarding, attendance, leave records, and general HR administration.
- Support HR processes via Saudi government platforms when required.
- Oversee office supplies, equipment, purchasing requests, and supplier relationships.
- Negotiate with vendors, monitor service agreements, costs, and renewal dates.
- Coordinate office maintenance, cleaning, security, IT support, and other facility requirements.
- Monitor office expenses, petty cash, and the administration budget.
- Assist with invoice processing, expense claims, and liaison with the Finance team.
- Organise internal meetings, client visits, office events, and business functions.
- Maintain confidential employee, client, and company records.
- Ensure office procedures comply with company policies and Saudi regulations.
- Collaborate with regional and international HR, Finance, IT, and Operations teams.
Required profile
- Saudi national.
- Bachelor’s degree in Business Administration, Human Resources, Management or a related field.
- Minimum 5 years of experience in office management, administration or business support.
- Previous experience in a law firm is strongly preferred; experience in international professional services firms is also considered.
- Proven ability to manage support staff and service providers.
- Fluent in Arabic and English, both written and spoken.
- Highly organized, professional, and capable of handling confidential information.
- Ability to manage multiple priorities and meet tight deadlines.
