Purchasing Agent – Food & Inventory Management

About the role

The Purchasing Agent will support the hotel’s food and supply operations by managing inventory, processing orders, and ensuring accurate record‑keeping. This full‑time, on‑site position works closely with the kitchen, stores, and vendors to maintain optimal stock levels and uphold food safety standards.

Key responsibilities

• Calculate figures for food inventories, orders, and costs.
• Maintain organized records, file reports and invoices, and post invoices using computer programs.
• Conduct inventory audits, complete requisition forms, and notify supervisors of low stock.
• Verify and track received inventory, reconcile shipping invoices, and generate inventory reports.
• Receive, unload, and process deliveries; reject damaged or incorrect items.
• Troubleshoot vendor delivery issues and oversee returns.
• Follow food safety and handling policies; monitor PAR levels for all food items.
• Report accidents or unsafe conditions and complete required safety training.
• Communicate professionally, prepare documents, answer phones, and maintain confidentiality.
• Perform physical duties such as lifting up to 50 lb, moving through confined spaces, and standing for extended periods.

Required profile

• High school diploma or GED equivalent.
• At least 1 year of related experience in purchasing or inventory control.
• No supervisory experience required.
• No specific license or certification required.

Required skills

• Basic computer proficiency (inventory or point‑of‑sale software).
