Purchasing Coordinator

About the role

The Purchasing Coordinator is responsible for managing the end‑to‑end procurement process, ensuring that material requirements are planned, orders are placed, and deliveries are tracked efficiently. This role works closely with suppliers, logistics, import/export, and accounting teams to guarantee timely and compliant shipments.

Key responsibilities

• Prepare Material Requirement Plans (MRP) for the upcoming month.
• Create purchase orders and dispatch them to suppliers.
• Follow up with suppliers to ensure timely delivery of documents and orders.
• Coordinate with the Central Logistics Department for shipment clearance and obtain freight quotations for FOB shipments.
• Work with the Import/Export department to issue required shipment certificates (e.g., Saber, FASAH, Value Chains).
• Submit invoices to the accounting department promptly.
• Raise claims for missing or non‑conforming materials, providing supporting documentation.
• Track and settle supplier dues with the accounting team.
• Prepare monthly reports and ad‑hoc reports as needed.
• Manage material shortages based on the RM Shortage List from Planning.
• Monitor customs duty exemption status for raw materials to avoid unnecessary payments.
• Prepare transfer requests for inter‑company material movements.
• Coordinate renewal of Product Certificates of Conformity with product managers and import/export.
• Collaborate with warehouse teams across countries to confirm order receipt and address quality issues.

Required profile

• Experience in material planning, purchase order processing, and supplier coordination.
• Familiarity with import/export documentation and customs duty exemption procedures.
• Ability to work with logistics, accounting, and warehouse teams to ensure smooth material flow.
• Strong attention to detail for documentation, claims handling, and reporting.
