Receiving Agent

About the role

The Receiving Agent is responsible for managing the receipt of goods at the hotel, ensuring that all deliveries meet quality, policy, and hygiene standards. This position plays a critical role in supporting hotel operations by coordinating with suppliers and internal departments.

Key responsibilities

• Verify that all received items conform to the LPO, hotel policies, and hygiene standards.
• Inspect goods for count, weight, and visual specifications before acceptance.
• Deliver inspected goods to the appropriate department and obtain acknowledgment from department heads or representatives.
• Review supplier invoices for completeness, numbering, itemization, and accuracy; acknowledge satisfactory deliveries with the hotel seal and signature.
• Process supplier invoices in the FBM system promptly and accurately.
• Prepare and review weekly Deviations and Outstanding Order reports according to hotel standards.
• Monitor outgoing records for serial control, flag outstanding items, and report to department heads.
• Maintain both manual and electronic filing systems with proper naming, cataloguing, and restricted access.
• Operate in a safe, environmentally friendly manner and comply with all health, safety, and environmental policies.

Required profile

• Degree in Hotel Management or Accounting.
• Minimum of one year experience in a hotel environment.
• Excellent verbal and written English communication skills.
• Strong computer literacy; familiarity with hotel management software is an asset.

Required skills

• Proficiency with Opera, Micros, FBM, and SUN System (or similar hotel management platforms).
• Computer literacy and ability to work with electronic filing systems.
