Client Relations Officer – Vendor Registration & PQQ

About the role

The Client Relations Officer will manage all vendor registration and pre‑qualification (PQQ) activities, ensuring the company is approved to supply private, government and semi‑government clients. This role acts as the main liaison with clients, guaranteeing compliance, timely documentation and supporting business development initiatives.

Key responsibilities

• Manage end‑to‑end vendor registration and PQQ processes across private, government, PIF and semi‑government sectors.
• Prepare, review, submit and update PQQ documents, pre‑qualification forms and compliance files.
• Coordinate with Finance, HR, Legal, Operations, HSE, Quality and IT to collect and validate required documents.
• Serve as primary contact for clients on registration, PQQ and vendor qualification matters.
• Proactively follow up with clients to track status, clarify requirements and secure approvals.
• Maintain accurate registration records in CRM or registration databases and monitor renewal dates.
• Develop and improve registration workflows and templates to reduce turnaround time.
• Prepare regular reports on registration status, approvals and pending actions for management.
• Support Business Development teams by ensuring registration readiness for new opportunities.
• Conduct internal training on registration and PQQ processes.

Required profile

• Bachelor's degree in Business Administration, Supply Chain Management, Management or related field.
• 3‑5 years of experience in vendor registration, PQQ management, procurement support or client affairs.
• Proven experience dealing with government, semi‑government and large private sector clients.

Required skills

• Proficiency with CRM systems.
• Advanced MS Office skills.
• Experience using document management tools.
