About the role
We are looking for an enthusiastic Executive Secretary to provide comprehensive administrative support to the General Manager. The successful candidate will ensure smooth operation of the executive office by handling confidential matters, managing communications, and delivering high‑quality service.
Key responsibilities
- Draft, proofread, and dispatch outgoing correspondence to a high standard.
- Review and prioritize incoming mail, forwarding relevant items to the General Manager.
- Maintain an up‑to‑date calendar, schedule appointments and meetings.
- Establish and manage filing systems, databases of business contacts, and track pending items.
- Compose letters on behalf of the General Manager and prepare simple document interpretations when required.
- Attend meetings, record minutes, distribute them and follow up on action items.
- Organise travel arrangements and external business trips for the General Manager.
Required profile
- College diploma in secretarial training or related field.
- Relevant experience in executive secretarial or administrative roles.
- Fluent written and spoken English with strong note‑taking ability.
- Discreet, proactive, and able to work with minimal supervision.
- Ability to handle confidential information and work under pressure in a fast‑paced environment.
Required skills
- Typing speed of at least 60 words per minute.
- Computer literacy, including proficiency with Microsoft Office applications.
