Guest Care Representative – Patient Reception

About the role

We are looking for a professional Guest Care Representative to be the first point of contact for patients, doctors and visitors at our polyclinic. You will ensure a welcoming atmosphere, manage appointments and support administrative processes while upholding the clinic’s image and standards.

Key responsibilities

• Greet patients and visitors in person and by phone, handling enquiries courteously.
• Maintain continuous coverage of the reception area, including during breaks.
• Register new patients, update demographics, and collect personal and financial information.
• Book, amend and cancel appointments according to clinic procedures, ensuring optimal scheduling efficiency.
• Identify urgent consultation needs and allocate appropriate slots or refer to physicians.
• Receive and prioritize home‑visit requests, print summary sheets, and follow protocol.
• Inform patients about charges, process payments and issue receipts.
• Monitor email and fax communications, sending messages as required.
• Keep the reception area clean, tidy and stocked with informational leaflets.
• Answer, redirect or take messages for calls in a professional manner.

Required profile

• High school diploma; university degree preferred.
• Minimum 3 years experience in a similar front‑desk or patient‑service role.
• Fluent spoken and written English and Arabic.
• Strong customer‑service orientation and ability to work under pressure.

Required skills

• Proficiency with Microsoft Office (Word, Excel, Outlook).
