About the role
We are looking for a detail‑oriented Administrative Data Entry File Clerk to work remotely. In this position you will maintain digital files, update databases, and ensure that all records are accurately indexed and stored, supporting the efficiency of our daily operations.
Key responsibilities
- Intake and index incoming files from shared inboxes, portals, ticketing tools and cloud folders, applying standard metadata.
- Organize documents using naming conventions, folder structures, and format conversions (PDF merge/split, image‑to‑PDF, compression).
- Perform quality control checks for duplicates, misfiles, missing pages, and unreadable scans; log errors and suggest improvements.
- Handle sensitive records with strict access controls, follow retention schedules, legal holds and support audit retrieval.
- Collaborate with HR, Finance, Operations, Legal and Customer teams to clarify file requirements and provide status updates.
Required profile
- Experience in records management, administrative support or document control.
- Strong attention to detail and ability to follow naming and filing rules consistently.
- Comfort handling confidential information and adhering to strict procedures.
- Basic computer proficiency with file systems, spreadsheets and PDF tools.
Required skills
- Cloud storage platforms such as Google Drive, SharePoint or Dropbox.
- Document tools like Adobe Acrobat (or equivalents).
- Spreadsheet applications.
- Ticketing systems (Jira, Asana, ServiceNow).
- E‑signature platforms.
- General office productivity software.
