About the role
The Retail Operation Support Specialist provides comprehensive administrative and operational assistance to ensure smooth retail activities at service stations. This role works closely with both field and office teams, handling documentation, regulatory liaison, and training initiatives.
Key responsibilities
- Maintain and archive all agreements, leases, permits, and official correspondences in line with retail guidelines.
- Organise department meetings, follow‑up on actions, and manage documentation.
- Handle dealer applications, record keeping, and support the Retail team with required paperwork.
- Initiate and process procurement requests according to company policies.
- Serve as the primary liaison with the Ministry of Energy, managing inquiries, permit renewals, and regulatory compliance.
- Lead training programs for sales and operations staff, using train‑the‑trainer, on‑the‑job, and classroom methods.
- Monitor department OPEX, track expenditures against budget, and support cost‑optimization initiatives.
- Manage monthly timesheets, payroll processes, and uniform distribution for staff.
- Coordinate performance competitions and maintain operational manuals.
Required profile
- Proven experience in retail operations or administrative support.
- Strong knowledge of documentation management and regulatory processes.
- Ability to coordinate training, procurement, and cross‑functional projects.
- Excellent communication skills for internal and external stakeholder interaction.
- Detail‑oriented with strong organisational and time‑management abilities.
