About the role
We are looking for a meticulous Remote Documentation Specialist to join our team. In this position you will create, review, and maintain a wide range of documents, ensuring clarity, consistency, and accuracy across all records while working from anywhere.
Key responsibilities
- Receive and index documents from shared inboxes, portals, ticketing systems, and cloud platforms.
- Apply standardized metadata, naming conventions, and structured folder systems.
- Format, convert, and compress files (PDF, merging/splitting) and manage version control.
- Conduct quality checks for formatting, completeness, duplicates, and errors; log issues and suggest process improvements.
- Handle sensitive documents with confidentiality, follow retention policies, and support audits.
- Collaborate with HR, Operations, Legal, Finance, and Customer Support to clarify requirements and provide status updates.
Required profile
- Strong attention to detail and excellent organizational abilities.
- Ability to work independently in a fully remote environment.
- Commitment to data confidentiality and compliance standards.
Required skills
- Microsoft Office (Word, Excel, PowerPoint).
- Google Workspace (Docs, Sheets, Slides).
- Adobe Acrobat for PDF editing.
- Cloud storage platforms: Google Drive, SharePoint, Dropbox.
- E‑signature and document approval tools.
- Spreadsheet tracking and indexing.
