About the role

The Executive Administrative Assistant supports the Chief Executive Officer by managing office operations, coordinating schedules, and ensuring smooth communication across the organization. This pivotal role acts as the main liaison between executive management, internal departments, and external partners.

Key responsibilities

  • Review and process requests received by the CEO’s office, informing the CEO of required actions.
  • Prepare and maintain the CEO’s agenda, schedule appointments and meetings using digital tools.
  • Organize timetables for internal and external meetings, conferences, and visitor arrangements.
  • Receive and assist visitors and clients of the CEO according to instructions.
  • Support planning of official events and meetings, handling administrative and logistical tasks.
  • Prepare meeting agendas, documents, reports, minutes, and follow‑up on decisions.
  • Draft outgoing correspondence, track delivery, prioritize incoming mail, and archive appropriately.
  • Prepare memos, administrative decisions, and circulars for distribution and implementation.
  • Produce research papers, reports, presentations, and other requested materials.
  • Coordinate travel arrangements for the CEO and directors, including accommodation, visas, itineraries, and schedules.
  • Maintain an organized paper and electronic filing system with strict confidentiality.
  • Provide administrative support to all departments as directed by the CEO.

Required profile

  • Bachelor’s degree or diploma in Business Administration or a related field.
  • Minimum 5 years of experience in coordination or office management.
  • Fluent in spoken and written English and Arabic.
  • Strong time‑management, problem‑solving, and decision‑making abilities.
  • Excellent verbal and written communication with high attention to detail.
  • Effective interpersonal and social skills.
