About the role
The Event Planning Executive supports the Event Planning team at Grand Hyatt The Red Sea by handling administration, client communication, documentation, and day‑of coordination. This onsite role ensures events are delivered accurately and on time.
Key responsibilities
- Prepare, update, and distribute Banquet Event Orders (BEOs), banquet checks, floor plans, and signage.
- Maintain event files, timelines, menus, function diaries, and track guarantees and cutoff dates.
- Coordinate site inspections, tastings, vendor access, sample orders, and collateral.
- Handle client queries, minor changes, and confirmations under the guidance of the Event Planning Manager.
- Support onsite execution, including registration, VIP amenities, rooming list audits, and post‑event follow‑up.
- Ensure data accuracy in systems such as Opera or S&C and generate standard reports.
Required profile
- 1–3 years of experience in hotel events or a strong internship/trainee background.
- Excellent proficiency in MS Office/365.
- Fluent in Arabic and English.
- Flexible onsite schedule aligned with event operations.
