Events and Engagement Officer

About the role

The Events and Engagement Officer will plan, coordinate and execute high‑profile academic and institutional events across Saudi Arabia. Working closely with senior leadership, the Director of Operations and external partners, the role ensures seamless logistics, excellent attendee experience and alignment with the institution’s strategic goals.

Key responsibilities

• Coordinate end‑to‑end planning and delivery of conferences, workshops, symposiums and official visits.
• Develop detailed timelines, floor plans and run‑of‑show documents.
• Manage on‑site operations including registration, venue setup, AV, catering and other requirements.
• Ensure compliance with campus policies, safety standards and protocol for high‑profile attendees.
• Arrange travel, accommodation, transportation, visas, room bookings and related services for on‑ and off‑site events.
• Oversee event procurement, raise purchase requisitions, process purchase orders, handle invoices and support vendor onboarding.
• Track event budgets, conduct post‑event financial reconciliation and report on financial performance.
• Liaise between internal departments and external service providers to guarantee successful execution.

Required profile

• Bachelor’s degree in Event Management, Communications or a related field.
• Minimum two years of experience in event planning, logistics coordination or a similar role, preferably in an academic or research environment.
• Proven track record of coordinating events of varying sizes and complexities.
• Experience in budget management and financial tracking for events.
