Executive Assistant

About the role

The Executive Assistant provides high‑level administrative support to senior leadership, ensuring efficient information flow and smooth day‑to‑day operations. This role involves managing communications, schedules, documentation, and facilitating meetings while upholding confidentiality and organizational standards.

Key responsibilities

• Manage and maintain executives' schedules, appointments, travel arrangements, and coordinate meetings and events.
• Prepare, edit, and format correspondence, presentations, reports, and other documents in line with organizational policies.
• Design, maintain, and update databases and filing systems, ensuring accurate retrieval of documents and reference materials.
• Conduct research, collect and analyze data, and produce reports to support executive decision‑making.
• Record, transcribe, and distribute minutes of meetings, and follow up on action items.
• Screen, respond to, and route incoming communications, including calls and visitor inquiries, while preserving confidentiality.
• Handle incoming and outgoing communications, including email, phone calls, and mail, ensuring timely and professional responses.
• Monitor and enforce compliance with company policies, procedures, and governance standards in daily operations.
• Identify opportunities for process improvement, cost‑effectiveness, and productivity enhancements and contribute to their implementation.
• Ensure internal and external customer satisfaction by addressing needs courteously and promptly.
