About the role
The Executive Secretary provides high‑level administrative support to the Chief Executive Officer, ensuring smooth coordination of meetings, correspondence, and project follow‑up. This role demands meticulous organization, confidentiality, and the ability to manage multiple priorities in a fast‑paced environment.
Key responsibilities
- Organize and manage the CEO’s calendar, schedule internal and external meetings, and coordinate participants.
- Prepare and distribute meeting agendas, draft accurate minutes, and track implementation of decisions.
- Draft official letters, emails, and reports in Arabic and English, and handle incoming calls and inquiries.
- Create professional PowerPoint presentations for meetings and events.
- Maintain and archive paper and electronic files, ensuring easy retrieval.
- Update project databases, monitor task progress, and prepare periodic progress reports for senior management.
- Coordinate with various departments and external partners to ensure workflow efficiency.
- Uphold strict confidentiality of all senior‑management information.
Required profile
- Excellent organizational and time‑management abilities.
- Strong written and verbal communication skills in both Arabic and English.
- Ability to work under pressure and handle multiple tasks simultaneously.
- High level of accuracy, professionalism, and discretion.
Required skills
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience preparing meeting minutes and executive reports.
- Capability to design professional presentations.
