Operations Coordinator

About the role

The Operations Coordinator will ensure smooth vehicle operations for the business sector, handling deliveries, replacements, and follow‑up activities while providing prompt and professional customer service.

Key responsibilities

• Answer incoming calls and emails, responding to all customer inquiries without delay.
• Daily follow‑up with customers on new vehicle deliveries, vehicles returning from maintenance, and sector fleet status.
• Receive vehicles for contract closure and review related customer reports.
• Manage external vehicle replacements, update system records, and reassign users after maintenance.
• Coordinate requests from internal departments, handling damages, tire issues, and missing documentation.
• Update user names in the system and ensure all customer requests are routed to the appropriate coordinators.
• Provide customer service for maintenance, breakdowns, and related concerns.
• Conduct daily branch inventory, reconcile with the system, and coordinate installation of tracking devices.
• Monitor vehicle status (new, ready, reserve, out of service) and ensure timely closures.
• Notify users of vehicle readiness via email, calls, and SMS, and follow up until vehicles are received.
• Handle negotiations, resolve customer issues, and ensure route lines are closed promptly.
• Complete periodic vehicle inspections for operation card renewal.

Required profile

• Strong communication skills with the ability to respond quickly to customer inquiries.
• Experience in coordinating vehicle or fleet operations, including deliveries and maintenance.
• Attention to detail for inventory reconciliation and system updates.
• Ability to manage multiple requests simultaneously and follow through to completion.
• Negotiation and problem‑solving capabilities to resolve customer issues.
