Customs Clearance Coordinator

About the role

The Customs Clearance Coordinator will manage end‑to‑end customs clearance activities for inbound and outbound shipments, ensuring compliance with Saudi regulations and timely release of cargo. Working within Vault Logistics' dynamic logistics team, the coordinator will act as the primary liaison between vendors, customs authorities, shipping lines, and internal finance teams.

Key responsibilities

• Prepare and submit customs declarations through the Zakat, Tax and Customs Authority (FASAH system), ensuring accurate HS codes, invoices and packing lists.
• Coordinate with customs authorities for approvals, duty and VAT calculations, and timely payments.
• Generate and manage customs‑related invoices (e.g., DP, RSGT) and follow up on payments with the finance department.
• Upload, verify and maintain all required customs documentation.
• Liaise with shipping lines to obtain Delivery Orders and resolve clearance issues, including on‑site visits when necessary.
• Arrange gate passes and container pickups with transporters, and oversee transit shipments from clearance to port exit.
• Review and validate transporter invoices for accuracy before processing payments.

Required profile

• Minimum of 1 month experience in customs clearance, freight forwarding or related logistics functions.
• Familiarity with Saudi customs procedures and the FASAH electronic system.
• Strong attention to detail and ability to work under tight deadlines.
• Effective communication skills for interacting with authorities, vendors and internal teams.
