Site Administrator – Construction Documentation & Compliance

About the role

Subsea7 is seeking a Site Administrator to serve as the primary documentation and administrative interface between the on‑shore construction site and the project office, ensuring accurate and traceable management of all site‑level documents, permits and correspondence in line with Saudi Aramco and Saudi Arabian regulations.

Key responsibilities

• Establish and maintain the site document management system in compliance with Saudi Aramco document control requirements.
• Manage the lifecycle of site‑generated documents such as Method Statements, Inspection and Test Plans (ITPs), Permits to Work (PTWs), Non‑Conformance Reports (NCRs), Field Change Requests (FCRs) and Daily Progress Reports.
• Maintain registers of correspondence with the project office and Saudi Aramco representatives, ensuring timely acknowledgements.
• Control issuance and return of As‑Built mark‑ups, construction drawings and technical submittals.
• Coordinate preparation, submission, tracking and renewal of all local permits required for on‑shore construction activities.
• Liaise with local municipalities, Saudi Aramco Government Affairs and Saudi regulatory bodies for permit processing and compliance validation.
• Act as the primary point of contact for Saudi Aramco documentation requests, prepare and track transmittals, and maintain the Construction Inspection Request (CIR) and Inspection Test Record (ITR) registers.
• Serve as the official administrative interface between on‑shore subcontractors and project offices, handling RFIs, technical queries and deviation requests.
• Maintain complete pipeline construction dossiers, including weld maps, welding records, PWHT records and test reports for on‑shore pipelines.
• Document earthwork progress, compaction test results, survey data hand‑over records and waste management for land reclamation projects.
