Remote Customer Service & Admin Representative

About the role

We are seeking a versatile, detail‑oriented Customer Service Representative – Admin to join our fully remote team. The position combines front‑line customer support with behind‑the‑scenes administrative duties, allowing you to be the voice customers hear while keeping records, schedules, and internal processes running smoothly.

Key responsibilities

• Respond to customer inquiries via phone, email, and live chat promptly and professionally.
• Troubleshoot and resolve issues, escalating complex cases when needed.
• Process orders, returns, refunds, and account changes.
• Maintain accurate interaction logs in the CRM system.
• Manage digital files, records, and documents using cloud‑based storage.
• Schedule meetings, appointments, and calendar events.
• Prepare, format, and proofread correspondence, reports, and spreadsheets.
• Perform data entry and keep customer and internal databases up‑to‑date.
• Track expenses, process invoices, and support basic bookkeeping tasks.
• Assist onboarding of new employees or clients and provide ad‑hoc support to Sales, HR, and Operations.
• Identify opportunities to streamline service and administrative workflows.

Required profile

• High school diploma or equivalent; associate’s or bachelor’s degree is a plus.
• Excellent verbal and written communication skills.
• Strong organizational ability with keen attention to detail.
• Proven capacity to multitask and prioritize in a remote environment.
• Reliable high‑speed internet connection and a quiet home workspace.
• Professional, patient, and solution‑oriented demeanor.

Required skills

• Microsoft Office Suite or Google Workspace.
• Experience with CRM platforms such as Zendesk, Salesforce, HubSpot or Freshdesk.
• Familiarity with project‑management tools like Asana or Trello.
• Basic knowledge of bookkeeping or invoicing software (e.g., QuickBooks).
• Typing speed of 45 + words per minute.
