Sales Admin Assistant

About the role

The Sales Admin Assistant provides essential administrative support to Musco’s Sales Coordination Team, ensuring smooth communication between internal departments, customers, and contractors. This role helps keep sales documentation accurate and up‑to‑date while supporting the field sales staff with scheduling and information management.

Key responsibilities

• Build and maintain collaborative relationships with Musco departments, customers, and contractors.
• Enter and update data in Musco’s project management system, including Light‑Level information.
• Collect, assemble, and file sales documents such as submittals, purchase agreements, purchase orders, operation manuals, and warranty paperwork.
• Locate and obtain bid‑related documents, scan and file them appropriately.
• Monitor electronic conferences and take required actions.
• Assist the Field Sales Team in updating activity calendars and project details.
• Answer phone calls and handle routine requests.
• Perform other duties as assigned.

Required profile

• High school diploma or equivalent (required); two‑year business degree or comparable office experience (preferred).
• Strong computer proficiency, especially with Microsoft Office and Adobe Acrobat.
• Excellent communication skills, both written and verbal.
• Ability to prioritize tasks, work independently, and manage multiple assignments simultaneously.
• Team‑player attitude with flexibility to adapt to changing priorities.
