Admin Coordinator – Heavy Equipment Registration & Inspection

About the role

The Admin Coordinator will manage the end‑to‑end process for heavy equipment registration and inspection requests. Working remotely, you will act as the main point of contact between clients, government authorities, inspection centres and internal teams.

Key responsibilities

• Receive and review registration requests from SASO and the HERC Center.
• Schedule and coordinate inspection appointments for heavy equipment.
• Verify equipment details, ownership documents, identification numbers and supporting paperwork.
• Communicate appointment dates, required documents and process updates to clients and relevant departments.
• Track the status of each request, follow up on missing documents, inspection results and approvals.
• Maintain accurate records of registrations, certificates, appointments and correspondence.
• Prepare regular reports on submitted requests, completed inspections, pending cases and rejected applications.
• Handle administrative correspondence, emails, calls and document filing.
• Escalate delays, document issues or compliance concerns to management.

Required profile

• Diploma or bachelor’s degree in Business Administration, Office Administration, Logistics or a related field.
• Previous experience in administrative coordination, equipment registration or inspection coordination is preferred.
• Strong organisational, follow‑up and communication skills.
• Ability to produce clear reports and maintain precise documentation.

Required skills

• Proficiency in Microsoft Office applications, especially Excel, Word and Outlook.
