Proposal Administrator – Events & Marketing (Saudi National)

About the role

We are seeking a highly organized and proactive bilingual Proposal Administrator to support our Riyadh office. The role involves coordinating, preparing and submitting proposals, tenders, RFQs and RFPs across a wide range of agency services, including events, exhibitions, creative design, social media, media buying, video production and integrated marketing.

Key responsibilities

• Coordinate and prepare proposals, tenders, RFPs, RFQs and related client submissions for all agency verticals.
• Review tender requirements to ensure completeness, accuracy, compliance and professional presentation.
• Gather required information from Business Development, Creative, Events, Production, Finance, Media and Social Media teams.
• Manage submissions through Etimad and other procurement portals, monitoring announcements, deadlines and clarification periods.
• Maintain proposal checklists, revision control and an organized database of proposals, credentials and case studies.
• Track proposal activity, generate regular reports on pipeline, outcomes and win rates.
• Support the team in developing competitive proposals and liaise with procurement teams, project owners and external stakeholders.

Required profile

• Bachelor’s degree in Business Administration, Marketing, Communications, Events Management, Project Management or a related field.
• 2–3 years of experience in proposal management, tender coordination or related functions.
• Fluent in Arabic and English, with strong written and verbal communication skills.
• Saudi nationals are preferred for this position.
