About the role
The Admin Services Specialist supports ZATCA’s daily operations by managing communications, visitor services, and office logistics. Working under minimal supervision, the role ensures a professional environment for staff and guests.
Key responsibilities
- Answer and transfer incoming calls using the PBX system.
- Reserve and set up rooms for meetings, trainings, and conferences.
- Maintain a clean and welcoming reception area and coordinate visitor access.
- Provide office supplies and equipment to staff, and manage space allocation for new joiners.
- Record, sort, and dispatch incoming and outgoing correspondence and courier packages.
- Implement digitization and archiving of correspondence.
- Update employee extensions and mobile numbers in the central database.
- Coordinate with drivers and mail services for outbound deliveries.
- Follow all relevant policies, procedures, and SOPs, and escalate complex issues as needed.
Required profile
- Minimum of 2 years of relevant administrative experience.
- Bachelor’s degree in Business Administration, Public Administration, Office Management, or an equivalent field.
Required skills
- Proficiency in operating a PBX/switchboard system.
